This Privacy Policy explains how ApisTrack LLC ("ApisTrack," "we," "us," or "our") collects, uses, shares, and protects information in connection with the ApisTrack mobile applications (Android and iOS, package/bundle ID com.apistrack.app) and the ApisTrack web admin console (collectively, the "Service").
ApisTrack is a business tool used by beekeeping operations to manage bee yards, visits, crews, and routes. Most data in the Service is entered by an organization and its users. When your employer or organization provides you access to ApisTrack, that organization is the controller of the data you enter, and we process it on their behalf.
Information we collect
Account & identity
When an account is created we collect your email address and a password (used for authentication), your user name, your role (admin, lead, field, or office), and your crew and organization membership.
Location
We collect the GPS coordinates of bee yards that users enter into the app. With your permission, we also use your device's approximate or precise location (Android permissions ACCESS_FINE_LOCATION and ACCESS_COARSE_LOCATION) for a single purpose: to center the map on your current position. We do not track or store a continuous history of your device location.
Camera & photos
The app uses your device camera to capture hive and yard photos and to scan QR/barcodes (Android permissions CAMERA and READ_MEDIA_IMAGES). Photos you capture in the app are stored in our cloud storage as part of your organization's records. QR/barcode scans are processed on-device to identify a yard and are not retained as images.
Push notification token
If you enable notifications, we collect a device push notification token through Expo's push service (Android permission POST_NOTIFICATIONS) so we can deliver alerts relevant to your work.
Operational records
We store the operational data you and your organization create, including visits, activities, notes, issues and needs, routes, supply lists, and landowner contact details (name, phone, email, and address).
ApisTrack does not use your data for advertising, and we do not sell personal information.
How we use information
We use the information above to provide and operate the Service — authenticating users, displaying yards on a map, logging visits, planning and publishing routes, delivering notifications, syncing offline data when a device reconnects, and providing the web admin console to your organization. We also use it to maintain security, prevent abuse, troubleshoot problems, and meet legal obligations.
Third-party processors
We rely on a small number of trusted service providers ("sub-processors") to run the Service. They process data only to provide services to us and are bound by appropriate confidentiality and data-protection obligations:
- Supabase — hosts our database, authentication, and file storage (including photos).
- Google Maps Platform — renders maps and related geographic features.
- Expo / EAS — delivers push notifications and builds the mobile apps.
- Vercel — hosts the web admin console.
We may also disclose information if required by law, to protect our rights or the safety of others, or in connection with a corporate transaction such as a merger or acquisition.
Data security
We take reasonable technical and organizational measures to protect your information. Data is encrypted in transit using industry-standard TLS. All data is multi-tenant and scoped per organization using row-level security, so users in one organization cannot access another organization's data. Access to production systems is restricted to authorized personnel. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Data retention
We retain operational and account data for as long as your organization maintains an active account, and as needed to provide the Service. When data is deleted, or when an account is closed, we remove or anonymize personal data within a commercially reasonable period, except where we are required to retain it to comply with legal, accounting, or security obligations. Your rights
Depending on where you live, you may have rights to access, correct, export, or delete your personal data, to object to or restrict certain processing, and to withdraw consent. These rights are reflected in laws such as the EU/UK General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA). Because your organization typically controls the data in ApisTrack, you may need to direct some requests to them; we will assist our customers in responding. Children's data
ApisTrack is a business tool intended for use by adults in a professional capacity. It is not directed to children under 18, and we do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
International data handling
We and our sub-processors may store and process information in countries other than the one in which you live, including the United States. Where personal data is transferred internationally, we rely on appropriate safeguards such as standard contractual clauses or equivalent mechanisms required by applicable law.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date above and, for material changes, provide a more prominent notice (for example, within the app or by email). Your continued use of the Service after an update means you accept the revised policy.
